Terms and Conditions – Proposal Review Services and One-to-One Coaching & Mentoring Services

1. Scope of Services

1.1 Proposal Review Services

Proposal review services may include written feedback, strategic recommendations, eligibility checks, structural comments, redrafting suggestions, evaluator-style critique, and other advisory input relating to EU funding applications.

1.2 One-to-One Coaching & Mentoring Services

Coaching and mentoring services may include individual advisory sessions, proposal strategy discussions, grant planning support, career guidance relating to EU research funding, interview preparation, and tailored support for applicants or research support staff.

1.3 Nature of Services

All services are advisory in nature and are tailored to the client’s specific needs, as agreed in advance.

2. Booking and Payment

2.1 Confirmation

A booking is confirmed only upon written acceptance by EU Project AB and, where applicable, receipt of payment.

2.2 Payment Terms

Unless otherwise agreed in writing, full payment must be received before commencement of the service.

2.3 Invoices

Invoices are payable within the stated payment period indicated on the invoice.

2.4 Currency and VAT

All prices are stated in EUR unless otherwise agreed. Payments in GBP may be accepted at the applicable exchange rate. VAT is not charged, as the provider is not VAT registered in the United Kingdom.

3. Delivery of Services

3.1 Format

Services may be delivered remotely by email, video conferencing, telephone, or other agreed online platforms. In-person delivery may be agreed separately.

3.2 Scheduling

Sessions and deadlines will be arranged by mutual agreement. Clients are responsible for providing sufficient notice, especially where proposal deadlines are imminent.

3.3 Client Materials

The client is responsible for supplying accurate, complete, and timely documentation necessary for service delivery.

4. Proposal Review Services – Specific Terms

4.1 Review Scope

Proposal reviews are based on the materials submitted by the client at the time of review.

4.2 Turnaround Times

Indicative turnaround times may be provided but are subject to workload, document quality, and proposal complexity.

4.3 Late Requests

Urgent reviews requested close to submission deadlines may be accepted subject to availability and may incur additional fees.

4.4 Responsibility for Final Submission

The client remains solely responsible for final content, formatting, compliance, submission decisions, and timely submission of any application.

5. One-to-One Coaching & Mentoring – Specific Terms

5.1 Session Duration

Session length will be agreed in advance. Additional time may be chargeable.

5.2 Rescheduling

Clients may reschedule an individual session with at least twenty-four (24) hours’ notice, subject to availability.

5.3 Missed Sessions

Sessions missed without sufficient notice may be charged in full.

5.4 Follow-Up Support

Any follow-up support outside the agreed session scope may be chargeable unless otherwise agreed.

6. Cancellations and Refunds

6.1 By the Client

Cancellations made more than seven (7) calendar days before the agreed service start date or scheduled session may be eligible for a full refund, less any applicable bank charges.

6.2 Within Seven Days

Cancellations made within seven (7) calendar days are non-refundable where time has been reserved or preparatory work has commenced.

6.3 By the Provider

If EU Project AB is unable to deliver the agreed service, the client will be offered either:

  • rescheduling; or
  • a full or proportionate refund, depending on the extent of work already completed.

7. Intellectual Property and Use of Materials

7.1 Client Ownership

The client retains ownership of all original proposal content and materials provided.

7.2 Advisory Materials

Feedback reports, templates, guidance notes, and other materials supplied by EU Project AB remain the intellectual property of EU Project AB unless otherwise agreed.

7.3 Permitted Use

Materials provided are for the client’s personal or internal institutional use only and may not be resold, redistributed, or commercially exploited without prior written consent.

8. Confidentiality

8.1 Confidential Information

EU Project AB will treat all client proposals, research concepts, commercial information, and personal data as confidential.

8.2 Disclosure

Information will not be disclosed to third parties except where required by law or with the client’s prior consent.

8.3 Public Reference

Unless the information is publicly available, EU Project AB will not reference client projects publicly without prior permission.

9. Liability

9.1 No Guarantee of Funding Success

EU Project AB provides expert advisory support but does not guarantee proposal success, funding awards, interview invitations, or evaluation scores.

9.2 Decision-Making Responsibility

All strategic, financial, scientific, and submission decisions remain the responsibility of the client.

9.3 Limitation of Liability

To the fullest extent permitted by law, EU Project AB shall not be liable for indirect losses, missed funding opportunities, consequential damages, or losses arising from incomplete or inaccurate client information.

10. Data Protection

10.1 Personal Data

Personal data collected during enquiries, booking, invoicing, or service delivery will be used solely for administration and delivery of services.

10.2 Compliance

Data will be handled in accordance with applicable UK and EU data protection legislation.

11. Technical Issues

11.1 Client Responsibility

Clients are responsible for ensuring suitable internet access, hardware, and software for remote sessions.

11.2 Disruptions

EU Project AB is not responsible for technical failures on the client’s side.

11.3 Provider Disruption

Where a significant technical issue on the provider’s side prevents delivery, reasonable efforts will be made to reschedule promptly.

12. Governing Law

These Terms and Conditions shall be governed by and interpreted in accordance with the laws applicable to the provider’s place of establishment, unless otherwise agreed in writing.
